Who we are
VKSA Stays Ltd (company number 16215604, registered in England and Wales) runs VKSA Stays, serviced apartments in Warrington. We are the controller of the personal data described here, which means we decide how it's used and are responsible for looking after it.
You can contact us about your data at info@vksastays.co.uk, or by post at our registered office, Unit 13 Roding House, 2 Cambridge Road, Barking IG11 8NL. We are registered with the Information Commissioner’s Office under number ZB874368.
What we collect
When you book
Bookings are made on our booking page, run for us by Uplisting. To make and manage your booking we receive your name, email address, phone number, the dates of your stay, the number of guests and anything you tell us about your trip. Card payments are processed by Uplisting’s payment provider. We never see or store your full card details.
Security deposit
Security deposits are handled by SafeGuest, the deposit service connected to Uplisting. It holds the deposit on your card and may ask you to confirm your identity before you arrive.
When you contact us
When you send an enquiry through the form on our contact page, we receive your name, email address, the apartment, dates and number of guests you ask about, and your message. Resend, an email delivery service, passes it to our inbox. We keep the emails you send us and our replies.
When you browse this site
The website doesn’t ask who you are and doesn’t track you. Like any website, our host records technical details of each visit, such as your IP address, browser and the pages requested, to keep the site running and secure. When you look at dates, your browser asks Uplisting’s booking system directly which nights are free and what they cost. Uplisting receives your IP address and the dates you check, but not your name.
Why we use it
Data protection law requires a lawful reason for each use of your data. Ours are:
- To take and run your booking, including check-in instructions, messages during your stay and refunds. This is necessary for our contract with you.
- To answer your enquiries before you book. This is necessary to take steps you’ve asked for before a contract, or is in our legitimate interest in replying to you.
- To protect the apartments through the security deposit and identity checks. This is in our legitimate interest in preventing damage and fraud.
- To keep financial records of bookings and payments, which tax law requires.
- To keep this website working and secure. This is in our legitimate interest.
We don’t sell your data, and we don’t send marketing emails.
Who we share it with
We only share what each of these needs to do its job for us:
- Uplisting, which runs our booking system, booking page and guest messaging.
- Uplisting’s payment provider, which processes card payments and refunds.
- SafeGuest, which handles security deposits and identity checks.
- Our email provider, which stores the emails you send us.
- Resend, which delivers the enquiries sent through our contact form to our inbox, from servers in the European Union.
- Our website host, which serves this site and keeps its technical logs.
- The people who clean and look after the apartments, who get the dates of your stay and the number of guests, never your payment details.
- The police or other authorities, if the law requires it, or to prevent crime or protect someone’s safety.
If you book through Airbnb rather than this site, Airbnb shares your booking with us and Airbnb’s own privacy policy covers what it does with your data.
Data stored outside the UK
Some of these providers store data outside the UK, for example in the European Union or the United States. When they do, the transfer is protected as UK law requires, through a UK adequacy decision, the UK–US data bridge or the UK International Data Transfer Agreement.
How long we keep it
- Booking and payment records: six years after your stay, as tax law requires.
- Emails about an enquiry that didn’t lead to a booking: up to one year.
- Security deposit records: as long as SafeGuest needs them to settle any claim.
- Website logs: a short time, kept by our host for security.
Cookies
This website doesn’t use cookies or anything similar. There’s no analytics, advertising or social media tracking, and our fonts and photos come from our own site rather than from other companies. That’s why we don’t show a cookie banner.
When you press “Book now” you move to our booking page on Uplisting’s system, which uses its own cookies to keep your booking and payment secure. Airbnb does the same if you choose to book there. If we ever add cookies to this site, we’ll update this policy and ask for your consent first where the law requires it.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that’s wrong or incomplete
- delete your data, where we don’t need to keep it
- stop or limit how we use it, or object to a use based on our legitimate interests
- send your data to you or another organisation in a common format
Email info@vksastays.co.uk to use any of these rights. It’s free, and we’ll reply within one month.
Questions and complaints
If you have a question or you’re unhappy with how we’ve used your data, please contact us first and we’ll try to put it right. You can also complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
If we change this policy, we’ll update it here and change the date at the top.
